Overview

As our Executive Assistant at CHI St. Alexius Health-Carrington Medical Center, now part of CommonSpirit Health formed between Catholic Health Initiatives (CHI) and Dignity Health, you’ll be a vital part of our office team, providing high level administrative support services for the President, VP – Provider Operations and VP – Operational Finance, including managing of calendar/travel. Supporting meeting preparation, drafting/proofing documents, and distributing key documents and information.

Your success in this role stems from your ability to be kind and personable, while still maintaining your work output. You will take calls from patients with administrative issues, greet visitors, and attend meetings with everyone from nurses and PAs to the CEO of the hospital. 

You'll do a lot of work in various Google programs: Docs, Sheets, Drive, and Calendar, to name a few. You'll also handle sensitive information, so you know that confidentiality is a must. And while our environment can get very busy at times, you'll stay calm and work through it, knowing the whole team is here to help if you have an issue.

In our Critical Access Hospital you will be exposed to the emergency department, acute care (Med/Surg), swing bed, surgery, outpatient treatment and so much more!


Responsibilities
  • Completes standard administrative processes such as mail processing, filing, faxing, scanning, copying, collating and organizing as needed; may delegate or outsource these functions to others if resources are available
  • Proactively and independently manages, analyzes (as needed) and coordinates calendars, itineraries, and travel arrangements for leader (s) supported
  • Prepares for and supports meetings to include scheduling and preparing appropriate meeting space, ordering catering, providing hospitality services to guests, taking minutes, and assisting with materials, presentations, and other resources as requested
  • Creates and edits documents, spreadsheets, presentations and organizational charts; additionally, is able to develop complex documents, spreadsheets and presentations independently on behalf of the leader(s) supported as needed
  • Proofreads, edits, distributes internal and external communications on behalf of leaders
  • Runs and distributes standard reports
  • Other duties as assigned by management


Qualifications

  • High School Diploma, GED or equivalent.
  • Five (5) years’ experience in general office or business related experience preferred.
