Responsibilities

JOB SUMMARY / PURPOSE
The Supervisor-Executive Coordinator is responsible for providing administrative and organizational support to
Administrative Executives including the President of CHI Memorial Medical Group and CHI Mountain
Management Services, Vice President Primary Care, Market Director Quality, Primary Care Medical Directors (2)
and Specialty Care Medical Director. This position is responsible for the management and supervision of
Executive support operation to include one Executive Assistant who provides support to Vice President Oncology
and Specialty Services, Market Director Finance, Market Director Telehealth, and Market Director Revenue Cycle.
Management and supervision of two secretaries in reception. This position is responsible for management of
overall office process/services, anticipation and planning for continuous change/growth of office, problem
identification and resolution on a daily basis.


ESSENTIAL KEY JOB RESPONSIBILITIES
● Knowledge of organizational policies, procedures, systems and objectives.
● Skills in developing and maintaining effective relationships with hospital executives, board of directors,
employed and other physicians, other medical and administrative staff, office managers, co-workers,
and employees.
● Leadership skills to include employee engagement, relationship building, decision making, conflict
resolution, and critical thinking.
● Exceptional skills in meeting planning, preparation follow up and minute taking for Board of Directors,
Board Committees, Division, and local office meetings.
● Excellent problem identification/resolution, sound judgement, and decision making skills
● Ability to balance numerous diverse assignments simultaneously.
● Ability to orchestrate large meetings, classes, retreats, and events for executives, physicians, and others requiring
event planning and coordination expertise to include catering planning, presentation flow, venue set up,
materials compilation, and guests and speaker preparation.
● Ability to lead a team of assistants in creating cohesive, well-organized, professional office environment with
optimal work flow.
● Project management skills such as for completion of policy revision and regular updates, Physician/APP Access
Project,
● Real Estate Projects, prepares all real estate new and lease renewal intake forms, and coordinates the
development of new lease and lease renewal business plans
● MMSP Compliance Education Reporting (previously a national project).
● Coordinate Director level interviews with local and out of town candidates to include numerous individuals and
interview situations. Also includes setting up travel, lodging, and candidate transportation.
● Tracking of physician meeting attendance for citizenship metrics and all physician moonlighting activities.
● Serve as PE Vision Awards Market and Division Coordinator. As asked, Serve as Catherine Spaulding judge,
participate in national focus groups.
● Prioritization of all projects, commitments, and requests.
● Liaison between the PE and other entities, requiring having a pulse on PE activities.
● Keep extensive data base of all physicians and APPs and regularly update practice listing.
● Take a leadership role in times of crises, such as a pandemic or cyber security attack. This can include many
before and after business hour meetings and collaboration with others.
● Project assist to Operations Director or VP.
● Direct assist to two Presidents and two Medical Directors.
● The Project Manager is responsible for the coordination, general oversight, and overall success of operational
projects for the Memorial Physician Enterprise including but not limited to working closely with strategic
planning, finance, national real estate, and operations
● The PM will lead implementation of new operational projects developed by MMS/CHI Memorial
● Administration and facilitate communication and feedback through responsible parties to ensure project success
and completion.
● Capable of handling multiple diverse and complex assignments concurrently.
● Experience with shifting priorities, demands and time lines
● Manage project teams, define scope, develop and manage project plans and project budgets. (across multiple
simultaneous projects)
● Facilitate and lead any short-term projects that are presented by the MMS Administrative team and ensure
timelines and objectives are met effectively.
● Assist in the creation of proposals for new business benefitting MMS and MHCS and ensuring timely delivery
prior to deadlines.
● Perform all other duties as assigned by the Senior Administration


Qualifications

Required Education:

Sys/Div/Mkt/Local Manager – Bachelor’s Degree and minimum
of 3 years leadership experience OR minimum of 5 years
leadership experience in the discipline OR Master’s Degree and
no experience

Required Education:

Bachelor’s Degree and minimum of 3 years leadership
experience OR minimum of 5 years leadership experience

Required Licensure and Certifications 

Required Minimum Knowledge, Skills and Abilities:

● Exceptional planning, organizational, coordination, and

project management skills.
● Excellent problem identification/resolution and
decision making skills.
● Sound judgement
● Ability to balance numerous diverse assignments
simultaneously.
● Ability to originate, develop and implement ideas.
● Ability to quickly grasp and interpret instructions, new
situations, methods and procedures.
● Ability to follow through on an assignment with little
supervision.
● General office skills, including typing 70 wpm,
shorthand/speedwriting, computer experience
including Microsoft Office, Word, PowerPoint, email,
and various audio visual equipment.
