Administrative Assistant - Nursing Administration

St. John’s Regional Medical Center is seeking a highly organized and detail-oriented individual to join our Nursing Administration team as an Administrative Assistant. This role provides essential support to the Director of Nursing and other nursing leadership, ensuring smooth operations and efficient

Responsibilities
  • Manage calendars, schedule meetings, and coordinate travel arrangements for the Director of Nursing and other nursing leadership.
  • Prepare and distribute meeting agendas, minutes, and presentations.
  • Handle incoming calls, emails, and correspondence, providing accurate information and directing inquiries appropriately.
  • Maintain and update department files, records, and databases.
  • Assist with budget preparation and tracking.
  • Order supplies and equipment for the department.
  • Facilitate communication between the Director of Nursing and other departments within the organization.
  • Prepare and distribute reports, memos, and other documents as needed.
  • Assist with the development and implementation of department policies and procedures.
  • Provide administrative support for special projects and initiatives within the department.
  • Assist with data collection and analysis for reports and presentations.
  • Prepare and distribute materials for training and educational programs.
  • Perform other administrative tasks as assigned.

Qualifications
  • Minimum of 5 years of experience with medical office management is preferred.
  • Basic knowledge of medical rehabilitation insurance and outpatient billing processes is desirable.
  • Excellent interpersonal skills and the ability to effectively work with all publics.
  • Must be able to establish and maintain working relationships with physicians supervisors center staff and third party payors.
  • Demonstrates advanced working knowledge of the principles standard practices procedures and equipment utilized in office management.
  • Self-motivated and able to achieve results through good organizational skills.
  • Demonstrate teaching and leadership skills including a proficiency for conceptual thinking motivating teaching principles and problems solving.
