Responsibilities

JOB SUMMARY / PURPOSE
The Onboarding and Retention Specialist acts with limited supervision and has within its function key area of responsibility to include organizing a wide range of activities for the successful onboarding and retention of physicians and providers (to include physician independent contractors). The Onboarding and Retention Specialist plans and may execute New Provider Orientations and is the designated point of contact for incoming providers. This support intends to offer a seamless experience for the newly hired Physician/Provider. The Onboarding and Retention Specialist acts as the onboarding and offboarding subject matter expert, becoming the stop gap to rectify any hurdles the physician may experience before they occur.


Following onboarding, the Onboarding and Retention Specialist will act as the first contact for Physicians and Providers in connecting them to the appropriate resource for their questions and concerns, acting as a point of escalation as needed. The Onboarding and Retention Specialist will routinely connect with the newly hired Physicians/Providers utilizing a formalized process to capture their experience and share trends and suggestions for overall process improvement.

ESSENTIAL KEY JOB RESPONSIBILITIES
- Plan and facilitate new provider orientation (NPO) for physicians and providers. Successfully coaches NPO speakers
- Ensure onboarding checklists are updated regularly by key stakeholders. Acts as our orientation consultant to push for process improvement while streamlining a thorough new provider onboarding experience.
- Train new NPO facilitators on presentations, keeping current with branding format and experience principles.
- Following selection of a new Provider, acts as primary point of contact for all Physician onboarding processes.

- rectify onboarding issues with the overall goal of preventing delayed start. Communicates changes and needs to all stakeholders throughout the process.
- Ensure each incoming Provider/Physician receives warm welcome to CommonSpirit Health.
- Work with leader to assist in the development, implementation and tracking of retention and engagement data/review data and identify trends.
- Create, manage and perform 30, 90, 365 day meetings with newly hired Physicians and providers. Share trends, improvements and escalations to appropriate person(s) or team(s).
- Act as first point of contact for concerns brought forward by Physicians and providers. See concerns through to resolution and follow up after to maintain relationship.
- Serve as communication liaison when other information is required of other departments to resolve any pending provider
- compensation concerns (i.e. Business Office, Payroll, Operations, Clinical Informatics, etc.). Recognize and work to resolve all concerns before they occur.
- Ensure exiting physician and provider system access is removed timely.
- Ensure offboarding checklists are updated regularly by key stakeholders. Acts as offboarding consultant to push for process improvement while streamlining a thorough provider offboarding experience.
- Send and perform exiting physician or provider survey and track/share results with leadership, prepares and executed engagement initiatives in partnership with leadership. - Creates dynamic and productive team that supports all elements of provider onboarding, offboarding and retention. Maintains high level elements of working supervisor role, while leading department coordinator(s).
- Creates an environment of trust, growth and openness, ensuring that process improvement is at the forefront of prioritization.
- Provides timely coaching and feedback to team.
- Delegates and escalates tasks effectively, understanding what is involved within the Onboarding and Retention Specialist scope of work and Coordinator scope of work.
- Administer and track various programs for new physicians and providers such as moving concierge services and student loan repayment services. Work closely with Physicians to assist in smooth transition.
- Assist with mentorship program for participating medical groups.
- Manage external vendor relationships related to onboarding physicians and providers.
- Oversee projects related to physician and provider on-boarding and off-boarding.
- Other duties as assigned.


Qualifications

MINIMUM QUALIFICATIONS
Required Education and Experience

- Minimum physician and provider onboarding experience required: 3 years

- Coordinating Physician and Advanced Provider onboarding

- Experience working with provider credentialing and enrollment process
- Leading and coordinating provider orientation program. 
- Experience presenting in a group setting. 
- Creating and delivering training material.
- Minimum Required: HS degree/equivalent

Required Minimum Knowledge, Skills, Abilities and Training

 Minimum Required: Exceptional communication and interpersonal skills required.
 Ability to establish strong relationships at all levels and geographies throughout the organization and cross-functionally as well as support clients/providers in multiple locations as required.
 Ability to leverage skillset to challenge and influence thinking and behaviors at the highest level.
 Strong analytical and problem solving skills with proven ability to organize and analyze data.
 Excellent process and detail orientation, including strong organization and prioritization skills.
 Advanced experience with Microsoft office suite.
 Frequent local travel and some distance travel is required.
