Responsibilities

As an Executive Administrator at CommonSpirit Health, you will be a vital member of our leadership team, providing comprehensive administrative support to our Senior Executive Vice President and Chief Administrative Officer, as well as the Office of the Chief Executive Officer. You will play a critical role in ensuring the smooth and efficient operation of these key offices. Your ability to be personable, proactive, and highly organized while managing day-to-day tasks is crucial to your success. You will be entrusted with handling a variety of administrative responsibilities, participating in meetings with clinicians, leaders, and other C-suite members, and maintaining the highest level of confidentiality.

Responsibilities:

  • Provide high-level administrative support to the Senior Executive Vice President and Chief Administrative Officer, including managing calendars, scheduling meetings, coordinating travel arrangements, and preparing correspondence.
  • Support the Office of the Chief Executive Officer with administrative tasks, as needed.
  • Act as a liaison between the Senior Executive Vice President and internal and external stakeholders, including executives, clinicians, and business partners.
  • Prepare meeting agendas, presentations, and minutes, ensuring accurate and timely distribution.
  • Manage confidential information with discretion and integrity.
  • Coordinate and organize meetings, conferences, and events, including logistics, catering, and materials preparation.
  • Manage and reconcile expense reports.
  • Maintain organized filing systems, both electronic and physical.
  • Utilize Google Suite programs (Docs, Sheets, Drive, Calendar) proficiently to create, edit, and manage documents, spreadsheets, and presentations.
  • Anticipate the needs of the Senior Executive Vice President and proactively address issues and challenges.
  • Maintain a calm and resourceful demeanor in a fast-paced environment, knowing that team support is available.

Qualifications

Qualifications:

  • Education: High school diploma required. Bachelor's degree preferred.
  • Experience: Minimum of 5 years of experience providing administrative support to senior-level (C-Suite) executives.
  • Skills:
    • Exceptional organizational and time management skills.
    • Excellent communication and interpersonal skills.
    • Proficiency in Google Suite (Docs, Sheets, Drive, Calendar).
    • Strong attention to detail and accuracy.
    • Ability to maintain confidentiality and exercise discretion.
    • Ability to work independently and as part of a team.
    • Ability to prioritize tasks and manage multiple projects simultaneously.
    • Strong problem-solving skills.
