Responsibilities
SUMMARY
The System Manager, IT Contracting has two significant areas of responsibility. One is to manage a portfolio of IT contracts, amendments, renewals, and transactions in an assigned category to ensure adherence to CommonSpirit policies and standards, to manage legal and business risk, and to achieve savings targets.
In addition, the System Manager, IT Contracting will lead a team of IT Contract Support (CS) resources. The System Manager will be responsible for developing and managing the CS team, distributing CS workload effectively, ensuring the team is adhering to contract lifecycle policies and procedures, and maintaining content integrity in the contract repository(ies).
The position requires strong leadership, management, and supervisory skills, the ability to collaborate with internal and external stakeholders at all levels, and solid working knowledge of information technology, contract development, and negotiation.
KEY RESPONSIBILITIES
Contract Management
- Work collaboratively with IT, business leadership, finance, and Legal to ensure timely and well-coordinated development, negotiation, and processing of new contracts, contract amendments, renewals, and transactions.
- Develop and manage relationships with IT vendors to ensure effective development and handling of IT contracts, amendments, renewals, and transactions.
- Simultaneously manage multiple IT contracting requests for a variety of CommonSpirit stakeholders, vendors, and contract/transaction types. Be proactive and consistent in setting appropriate expectations with all parties. Provide status updates and information to various stakeholders throughout the life of each request. Ensure each request progresses at a reasonable pace, meeting IT Contracting SLAs.
- Proactively identify and communicate potential risk areas in all contract/transaction types. Address risks and mitigation approaches with business users, IT, Legal, and vendors as appropriate.
- Collaborate with stakeholders to ensure that identified risks are properly addressed.
- Work with IT and business customers to identify opportunities for cost savings and cost avoidance. Ensure all IT transactions processed reflect pricing as documented in our agreements. Ensure that all identified cost savings and cost avoidances are properly documented for IT contracts, amendments, renewals, and transactions.
- Independently prepare all necessary contract documents utilizing approved templates where applicable.
- Prepare thorough and accurate Executive Memos when required, which clearly and effectively communicate key aspects of significant IT deals.
- Follow the required approval, signature, and storage processes to ensure adherence to CommonSpirit policies and procedures. Clearly communicate with Contract Support on priorities as well as on signature routing and repository load requirements related to your portfolio of work.
Contract Support (CS) Manager
- Cultivate and maintain a team environment where all people are included, respected, valued, and celebrated. Coach staff to provide skill development and professional growth.
- Define clear roles and responsibilities for the CS team and individual team members. Establish goals and monitor progress against those goals.
- Monitor and coordinate all activities performed by the Contract Support Team. This includes distributing CS workload effectively, ensuring that CSs are performing their work in a timely and accurate manner, and helping to alleviate bottlenecks when they arise.
- Ensure the CS team is adhering to contract lifecycle policies and procedures, and maintaining content integrity in the contract repository(ies). Assist in creating training and process documents to ensure accurate use of systems which are integral to the IT Contracting process (ServiceNow, Lawson, DocuSign, and MediTract).
- Identify areas of growth for the CS team and individual team members, and provide training and coaching as needed to help realize this growth.
- Anticipate, recognize, and deal effectively with existing or potential conflicts at the individual, group, or situation level.
Qualifications
Required:
- Bachelor’s Degree required, in Information Technology, Information Management, Business Administration, or Healthcare Administration preferred.
- 7 years of work experience in Contracting and Project Management.
- 5 years of work experience in Information Technology.
- 5 years of experience managing teams of five or more resources.
- High level of professional knowledge in preparation of contracts, negotiations, and legal terminology.
- Solid working knowledge of Information Technology and its use in business and/or healthcare settings.
- Strong organizational and communication skills.
- Strong leadership and management skills.
- Highly self-motivated, self-directed, and attentive to detail.
- Ability to handle multiple tasks, set priorities, schedule, and meet deadlines.
