Responsibilities
The Program Coordinator National Initiatives provides assistance for design and construction related activities for capital projects as assigned. This position assists the Project Team(s) to affect the timely and cost-effective outcome of capital construction projects as it relates to financial reporting and administration, project team communications, purchase orders, project documentation and reporting. This position reports directly to the Program Director National Initiatives. The Program Coordinator National Initiatives assists the Program Director and/or Program Manager to ensure a timely
and cost-effective outcome of program related construction projects within all Divisions. The Program Coordinator assists with maintaining project scope, schedule, and budget, preparing meeting minutes, managing purchase orders and utilizing financial project management applications, maintaining project documentation, and project reporting. This position reports directly to the Program Director National Initiatives.
● Organizes, attends and participates in project team meetings including preparing agendas, taking meeting minutes and tracking issue identification and resolution.
● Develops project reporting and indicates red flags for scope and budget issues.
● Develops and maintains detailed project schedules.
● Assists with the setup of capital and expense budgets including coordination of CIP accounts.
● Assists with ongoing budget management.
● Manages the purchase order requisition protocols for Project Delivery.
● Manages project status within the project management information system.
● Enters purchase order requests and invoices into the project management information system.
● Reconciles accounting data in the project management information system.
● Reviews and adjusts issues in the project management information system.
● Maintains all project documentation and project reporting.
● Ensures coordination with appropriate project team members and facility staff.
Qualifications
● Associate’s Degree required
● Minimum (1-3) years of experience as a Project Coordinator, healthcare facilities management, and/or project management.
● Knowledge of project scheduling, project construction budgeting and project reporting.
● Communicates effectively with a variety of internal and external constituencies and all organizational levels, using proficient written, verbal and presentation skills.
● Solid organizational skills, including multitasking and time-management.
● Strong client-facing and teamwork skills.
● Knowledge of Identification of risk and quality control issues, documentation and reporting of resolutions.
Special Skills
● Google Office Suite
● MS Project, Excel or similar (preferred)
● Project Management Software (preferred)
